The Problem at Scale
Event merchandise looks simple until the event isn’t one location. It’s a member premium program shipping different items to different people. It’s a gate giveaway of 25,000 shirts that has to be complete and correct before doors open — no second chance once the gate is live. It’s a global rollout where the same box has to clear customs in six countries and still show up looking like it came from one brand.
Most vendors can handle one of these. Few can handle all three without something breaking — the wrong item to the wrong address, a shipment held at a border, a member premium that arrives a week after the moment it was meant for.
The complexity doesn’t scale down for smaller runs and it doesn’t cap out at larger ones. A 300-unit member drop with custom SKUs per recipient is not simpler than a 2,000-unit global rollout — it’s a different kind of hard. Residential addresses. Individual preferences. No margin for a mismatched order landing on someone’s porch.
This is the point where most brand activation programs stop being about the merchandise and start being about the operation behind it.

Every event program starts the same way: we lock scope before anything goes into production. Item selection, decoration method, quantities, and delivery dates — planned around your event date, not a rush order after the fact.
A digital proof comes first, followed by a physical pre-production sample — always, even on a compressed event timeline. You see and approve the actual item before we commit to the full run, not just a mockup on a screen.
The pre-production sample isn’t a formality — it’s where we catch what a digital proof can’t show. Ink color reads differently on fabric than on a screen. Art size and placement that looks right in a mockup can sit wrong once it’s actually on the garment. We tweak and re-approve until it’s right, before production runs.
For most programs, a digital photo of the pre-production sample is enough for sign-off — clear enough to confirm color, size, and placement without waiting on shipping. For domestic programs where color accuracy or fit is critical, we’ll send the physical sample in hand before you approve. For overseas recipients, digital pre-production proofs are standard — shipping a physical sample internationally before the full run isn’t practical given timing and distance.
For programs with individual recipients — member premiums, personalized drops — sizing and preference data is collected up front and built into the production plan, not sorted out after the shirts are already made.
Once production clears approval, fulfillment runs on the delivery method your event actually needs. A single-location gate giveaway ships as one drop, timed to be on-site and ready before doors open. A multi-location or member program ships individually — correct item, correct size, correct address, whether that’s a residence in Ohio or a recipient overseas navigating a different country’s import requirements.
Budget controls and reporting are built into the program from the start, not added at the end. You know what’s been produced, what’s been shipped, and what’s left before the invoice ever shows up.
